Administrative Assistant
The Administrative Assistant will be responsible for providing general and administrative duties as well as answering the phones and greeting visitors at our office. You will be assisting with sorting and distributing the post and updating databases. In addition, you will be undertaking routine financial processes and help with other duties as directed. Key Requirements: You will need to have good and accurate literacy, numeracy and administrative skills and the ability to analyse information to solve general queries. You will also need excellent understanding and operation of Microsoft 356. It is important that you have good communication skills, are able to multitask in a quick, changing and sometimes challenging environment and are confident and comfortable around people with additional support needs. Tasks include: Serving as the main point of contact for the public and staff teams Managing phone calls, emails and other correspondence Scheduling meetings, client/customer appointments and travel arrangements Preparing reports, presentations and documents and handling basic bookkeeping, liaising with the accountant, recording expenditure and processing receipts Maintaining and sourcing value for money contracts e.g. insurance; phones Updating and maintaining office records, filing systems and databases Ordering office supplies and managing inventory Liaising with clients, suppliers and internal teams Creating and maintaining a well-organised, efficient office environment Promoting the organisation Developing relationships with other organisations Developing use of resources e.g. renting office space Any other duties as reasonably required Place of work Your usual place of work is 54 West High Street, Inverurie AB51 3QR but you may be required to work at other sites and premises operated by Grampian Opportunities from time to time as the Organisation may reasonably require.
